Agency Admin: Token Allocation

Learn how your monthly token pool works, how to set token caps for Free and Pro clients, how to check each client's token usage, and what to do when a client runs out of tokens.

Token allocation controls how much AI each client can use, so one client can't use up your whole monthly pool. It also shows you which clients are using the most.

What is a token?

A token is a small unit of AI work. Every time a client uses the platform, it uses tokens. Both what the client sends in and what the AI sends back count.

Long prompts and long answers use more tokens, so a few big jobs can add up quickly. A token counts the same no matter which AI model did the work.

How does the token pool work?

Your agency gets one shared pool of 10 million tokens every month. It resets each month, and all your clients draw from the same pool.

You don't give each client a fixed amount. Instead, you set a monthly cap per plan: one for Free clients and one for Pro clients. The cap is the most a single client can use in a month.

Example: if you have 10 Pro clients and set the Pro cap to 1 million tokens, you've reserved all 10 million. Most clients won't use their full cap, but the cap is the most each one can use.

How do I open Token Allocation?

  1. In Agency Admin, click Configuration at the bottom of the left-hand menu.

  2. Click the Token Allocation tab.

How do I check my pool?

At the top of the page, the four pool cards and two bars show how your pool is doing:

  • Reserved shows how much of the pool your caps have set aside.

  • Actual Consumption shows how much your clients have really used this month.

How do I set token caps for my clients?

  1. Enter your Free client monthly cap.

  2. Enter your Pro client monthly cap. The reserved and remaining figures update as you type.

  3. Click Update Caps to save.

New caps apply to every client on that plan.

How do I check each client's token usage?

Scroll down to the Per-Client table. It shows every client's plan, tokens used, their limit, and a usage percentage. Red bars show clients who are close to their cap.

There are no email or text alerts when a client is running low, so check this page regularly.

What do I do if a client runs out of tokens?

  • Move them to Pro in Client Management so they get the higher cap.

  • Or raise that plan's cap, as long as your pool has room.

If your whole pool is running short, contact the AIpreneurs team about getting more tokens.

Why is a client showing more than 100%?

The platform checks a client's usage before each job starts, not during it. A client just under their cap can start one large job and finish well over it, for example at 212%. Once they're at or over their cap, their next job is blocked until the month resets.

Common questions

Can I set a limit for just one client? Not directly, because caps are set by plan. To give one client more, move them to Pro. You can't give one client a smaller cap than the rest.

How many tokens do I get? Currently 10 million a month, shared across all your clients. You can change your Free and Pro caps yourself.

Can I get more tokens?

Yes. Click Request More Tokens under the caps. But most agencies starting out won’t need to.
